Operational Assistant (HR/FM)

Overview:

We are looking for a proactive and well-organized Operational Assistant to support our Facilities & Workplace Services team. This role is essential in ensuring a smooth and efficient working environment across our office spaces, including coordination of workspace planning, service requests, and facilities-related projects.

Key Responsibilities:

Helpdesk & Service Coordination

  • Manage incoming requests related to the working environment (e.g., equipment, furniture, moves).
  • Assign tasks to relevant service providers via a ticketing system.
  • Follow up with requestors and providers to ensure timely resolution.
  • Maintain records and generate reports on service activity.

Space Planning & Office Moves

  • Assist in preparing layout scenarios and modifying floor plans.
  • Coordinate office moves and workspace adjustments.
  • Liaise with internal teams and external technicians to ensure smooth execution.
  • Communicate changes and updates to affected teams.

Onboarding & Internal Mobility

  • Coordinate workspace setup for newcomers and staff moves.
  • Collaborate with team assistants to assess needs and complete setup forms.
  • Ensure timely delivery of services and equipment.

Administrative Support

  • Process and verify facilities-related invoices.
  • Distribute digital mail and communications to relevant teams.
  • Monitor vehicle usage and driver schedules.
  • Contribute to internal communications (e.g., blogs, announcements).

Qualifications:

  • University degree in a relevant field (e.g., Business Administration, Communications).
  • Minimum of 3 years of relevant professional experience.
  • Fluent in English and French; knowledge of other EU languages is a plus.
  • Proficient in Microsoft Office tools, especially Outlook, Excel, PowerPoint, and PDF tools.
