Administrative Assistant (M/F/X)
Manpower is looking for an Administrative Assistant for a client active in European institutional and cultural activities, located in Luxembourg.
This role is ideal for a highly organized, proactive, and service-oriented professional who enjoys working in a collaborative environment. You will provide comprehensive administrative and operational support to the Cercle office, contributing to the smooth functioning of daily activities, governance bodies, and events.
Your missions :
- Assist with general secretarial and administrative duties in close cooperation with a team of professionals and administrative/operational assistants.
- Organise meetings and events, including booking meeting rooms, coordinating refreshments, and requesting visitor access.
- Support the updating, filing, and archiving of documents in accordance with internal procedures.
- Assist with the creation of new Cercle clubs, manage membership requests, and maintain regular interactions with existing clubs.
- Monitor and ensure the reliability and accuracy of statistics related to Cercle memberships.
- Provide administrative support for Cercle governance activities, including Committee meetings and Annual General Meetings (AGM).
- Support the Cercle Executive Committee with administrative and coordination tasks.
- Contribute to the implementation of Cercle actions and policies, working closely with the Senior Cercle Administrator.
- Assist in the organisation of specific events such as Cercle Open Days and Arts Exhibitions.
- Ensure administrative back-up for the Senior Cercle Administrator and the Operational Assistant during their absence, guaranteeing business continuity of the Cercle office.
Your profile :
- Secondary level education, complemented by a 2-year certification in a relevant field (e.g. secretarial studies, business administration), or secondary level education with equivalent professional experience.
- At least 3 years’ experience in an administrative support role.
- Ability to work under limited supervision and to act as a reliable back-up for colleagues.
- Proactive mindset with a strong sense of initiative.
- Excellent knowledge of standard office tools, notably Excel, Word, PowerPoint, Outlook, and related collaboration tools.
- Strong organisational and planning skills with high attention to detail.
- Very good interpersonal and communication skills.
- Achievement-driven, with the ability to focus on performance and continuous improvement.
- Flexible and adaptable, able to adjust to change and evolving priorities.
- Strong team spirit, with the ability to collaborate effectively across organisational boundaries.
- Demonstrated organisational commitment, acting with integrity and aligning personal behaviour with the organisation’s mission, values, and rules in support of Europe and diversity.
