Job Description: Accountabilities
• Provide comprehensive operational support to the Mandate Services Officer
• Draft letters/payment requests and follow up on signatures, ensuring timely reminders and smooth exchanges with counterparts
• Pro-actively contribute to the maintenance/update and quality control of the databases (funds received, disbursed, new signatures, cancellations, amendments…). This entails timely and accurate filing and system updates.
• Assist on the production & dispatch of both regular and ad hoc portfolio reports (e.g. Monthly Balance Report) and compile financial and other information, according to needs and deadlines, annual financial reports, annual reports on incurred expenditures;
• Assist in the follow-up of annual audits;
• Assist in collecting the documentation for external audits mandated by EC or ECA;
• Prepare the disbursements and the bookings in the corresponding tool;
• Prepare the Unitary Fund (UF) subscriptions and redemptions requests for signature;
• Check and approve the vouchers (invoices) coming from Technical Assistance services in PeopleSoft and prepare the corresponding UF redemptions;
• Request the booking of fees to the Financial Control department;
• Answer ad hoc requests/questions from Mandate Officers and other services related to the tasks involved with (e.g. on available balance, on availability of funds)
• Support the team in maintaining procedural guidelines.

Qualifications
• At least secondary level education, complemented with a 2-year higher certification in a relevant field (ideally in accounting/finance, or economics, legal, business administration) or with equally qualified experience in a relevant field.
• At least 5 years of relevant professional experience at senior operational support level in accounting or finance
• Knowledge and/or exposure to development organisations would be an asset
• Good knowledge of the Bank’s standard computer tools, particularly MS Office tools (Word, Excel, PowerPoint). Knowledge of Business Objects and IT systems (Serapis, GED, VAM, NOW, ASApp) would be an advantage.
• Excellent knowledge of written and spoken English. Working knowledge of French would be an advantage (French optional)
