Senor Executive Assistant (M/F/X)
Manpower is recruiting a Senior Executive Assistant for one of its institutional clients operating in the financial sector, based in Luxembourg, as part of a temporary assignment.
Your missions:
- Provide high-level executive support to the Director and ensure the smooth administrative functioning of the Department
- Screen, prioritise and distribute incoming correspondence, documents and emails, ensuring appropriate follow-up actions
- Disseminate information within the Department to support the Director in decision-making and ensure staff are properly informed
- Manage the Director’s agenda, organise meetings and appointments, and coordinate logistical arrangements
- Monitor follow-up of management decisions and liaise with internal and external stakeholders
- Draft and finalise correspondence, meeting minutes and professional communications
- Prepare documents requiring Director approval or signature and ensure deadlines and internal procedures are respected
- Review reports, correspondence and communications for quality, accuracy and presentation standards
- Coordinate with secretariat teams and contribute to maintaining effective collaboration and a positive team environment
- Provide guidance to staff on administrative and operational procedures and suggest improvements to existing processes
- Organise and maintain both electronic and paper filing systems for efficient document retrieval
- Follow up approval processes and extract reports from internal systems to monitor progress against business objectives
- Contribute to the preparation and monitoring of the Department budget in coordination with the Budget Officer
Your profile:
- Secondary level education complemented by a 2-year certification in a relevant field (e.g. secretarial studies, business administration) or equivalent professional experience
- Minimum 5 years of relevant professional experience in executive or senior administrative support
- Strong knowledge and practical application of institutional administrative and operational procedures, including confidentiality and data protection requirements
- Excellent command of standard IT tools, particularly MS Office (Word, Excel, PowerPoint) and internal systems such as Serapis, GED and Business Objects
- Excellent command of written and spoken English and a good command of French; knowledge of additional EU languages is considered an asset
- Strong organisational skills with the ability to manage priorities and meet deadlines
- High level of discretion, professionalism and attention to detail
- Excellent interpersonal and communication skills with the ability to interact effectively with senior stakeholders
- Proactive mindset and ability to improve processes and working methods
