Manpower is looking for a Projects – Administrative Assistant for a European institution located in Luxembourg.

This is a temporary assignment starting on April 9th, 2026 until December 21st, 2026, with a possible extension in line with Luxembourgish regulations.

Your missions

  • Proofread, update and finalize agendas for governing bodies for internal use
  • Monitor and follow up on team tasks related to governing body documents
  • Maintain and update internal databases (division and directorate level)
  • Create and manage document libraries using tools such as TEAMS and GED
  • Support the coordination of online working groups
  • Follow up on mission-related requests and assist with related queries
  • Manage shared inboxes and redirect requests to relevant stakeholders
  • Contribute to process improvements and participate in assistant community meetings
  • Provide backup support to other assistants within the division/department
  • Maintain databases related to internal project requests

Your profile

  • Secondary education with a 2-year certification in administration/secretarial studies or equivalent experience
  • Minimum 3 years of experience in an administrative role
  • Strong command of MS Office tools (Word, Excel, PowerPoint)
  • Knowledge of tools such as TEAMS, GED, Serapis or Business Objects is an advantage
  • Excellent level of English (mandatory) and good knowledge of French
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High level of accuracy, reliability and confidentiality
  • Proactive mindset with a willingness to improve processes and collaborate across teams
