Administrative Asisstant (M/F/X)
Manpower is recruiting an Administrative Assistant – Coordination and Operational Support for one of its institutional clients based in Luxembourg, for a temporary assignment.
Your missions:
- Proofread, update, and perform final checks of governing bodies’ agendas for senior management
- Monitor and follow up on team members’ tasks related to official notes and documents by maintaining and updating internal databases
- Create, organize, and manage document libraries using collaborative tools (TEAMS, GED) and support online working groups
- Follow up on mission-related requests and handle queries from team members
- Manage shared inboxes, screen incoming requests, and redirect them to the appropriate stakeholders
- Contribute to the continuous improvement of internal procedures by actively participating in assistants’ meetings and cross-functional initiatives
- Provide backup support to other assistants within the division and/or department when required
- Assist in maintaining and updating databases related to internal requests
Your profile:
- Secondary education complemented by a 2-year certification in a relevant field (administration, secretarial studies, business support) or equivalent professional experience
- At least 3 years of relevant experience in an administrative or coordination role
- Good command of standard IT tools (Word, Excel, PowerPoint); knowledge of Serapis and Business Objects is an advantage
- Familiarity with the functioning of a financial or public institution is a plus
- Excellent written and spoken English and good knowledge of French; additional EU languages are an asset
- Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines
- Team-oriented mindset with good communication and collaboration skills
- High level of accuracy and attention to detail
- Ability to handle confidential information with discretion and integrity
