Client Description:
Manpower is recruiting a Senior Operational Assistant – Recruitment Administration for one of its clients, a European institution based in Luxembourg, for a temporary assignment.Job Description:

Your missions:

  • Coordinate and autonomously execute all administrative activities related to recruitment and internal mobility processes across the organisation
  • Prepare, publish and follow up on job vacancies on internal (intranet) and external (career website) platforms
  • Act as the main point of contact for internal and external candidates
  • Provide information and respond to queries from candidates, hiring managers and HR stakeholders
  • Organise interviews by coordinating schedules, logistics and communication with recruiters and panel members
  • Coordinate with external providers for the organisation of assessments
  • Manage travel expenses related to recruitment processes
  • Maintain and update HR databases (e.g. PeopleSoft, Oracle HCM, SPARK), ensuring accuracy and data quality
  • Liaise with HR systems support teams when necessary
  • Prepare hiring and internal mobility documentation, coordinate signatures and ensure proper archiving
  • Adopt a collaborative approach and provide backup support to other administrative assistants when required
  • Work with a high level of accuracy in a fast-paced environment, managing multiple priorities and tight deadlines

Candidate Profile:

Your profile:

  • Secondary education complemented by a 2-year certification in a relevant field (e.g. Human Resources, Administration) or equivalent professional experience
  • Minimum of 5 years’ experience in an administrative, operational or HR-related role, ideally in a customer-oriented environment
  • Good understanding of administrative processes, ideally within HR
  • Experience with HR systems (e.g. PeopleSoft, Oracle HCM, document management systems) is an advantage
  • Very good command of standard MS Office tools (Word, Excel, Outlook)
  • Excellent written and spoken English; good knowledge of French is preferred
  • Knowledge of additional EU languages is considered an asset
  • Strong organisational skills with attention to detail
  • Ability to manage multiple tasks and priorities effectively
  • Team player with strong interpersonal and communication skills
  • Ability to work under pressure and meet tight deadlines
  • Reliable, accountable and acting with integrity
