Administrative Assistant (M/F/X)
Manpower is recruiting an Administrative Assistant for one of its clients in the European banking sector, located in Luxembourg, on a temporary assignment basis.
Your missions:
- Provide administrative support to the Head of Division and team members to ensure the smooth running of the Division’s activities
- Assist loan officers in compiling and updating business information and organising contacts during the project origination phase
- Support the Head of Division and loan officers throughout the lending process in coordination with other Directorates
- Finalise, distribute, and file key project documents (reports, notes, Board documents) prepared by loan officers
- Coordinate the administrative aspects of the lending process, including monitoring deadlines, organising meetings, appointments, and business trips
- Handle client interactions by phone, organise meetings, and ensure proper follow-up of project-related information
- Prepare briefing materials for signature events in coordination with internal stakeholders
- Manage correspondence and draft cover letters
- Maintain and update the Division’s pipeline of transactions and ensure compliance with internal procedures
- Input and manage data in internal systems (including GED) and ensure accuracy of information
- Organise meetings, missions, and participation in conferences for loan officers
- Ensure proper filing and archiving of electronic and paper documentation
- Maintain and update IT tools and systems (Business Objects, GED, Serapis, shared mailboxes, distribution lists) and generate reports when required
- Manage shared mailbox and phone coverage in coordination with the assistants’ pool and respond promptly to requests
- Collaborate closely with team members and provide support to colleagues, including training new joiners when necessary
Your profile:
- Secondary education completed, complemented by a 2-year qualification in a relevant field (e.g. secretarial studies, business administration), or equivalent professional experience
- Minimum of 3 years’ experience in an administrative or operational support role
- Strong organisational skills with the ability to prioritise tasks and manage tight deadlines
- Excellent attention to detail and ability to handle multiple tasks simultaneously
- Strong communication skills and ability to interact with various stakeholders
- Excellent command of MS Office tools (Word, Excel, PowerPoint)
- Excellent command of English and/or French, with a good level of the other; knowledge of additional regional languages (Hungarian, Romanian, Bulgarian, Czech, Slovak) is an advantage
- High level of discretion and ability to handle confidential information
