Operational Assistant – Employee Relations Support (M/F/X)
Client Description:
Manpower is recruiting an Operational Assistant – Employee Relations Support for one of its clients in the European banking sector, located in Luxembourg, on a temporary assignment basis.Job Description:
Your missions:
- Provide administrative and operational support to the organisation of the Staff Representatives elections scheduled for September 2026
- Support the Election Committee Secretariat, including drafting, formatting, and finalising minutes of committee meetings
- Prepare, publish, and update official communications related to the electoral process (circulars, intranet articles, calls for candidates, voting instructions, reminders, updates)
- Compile, verify, and maintain voter lists and candidate submissions, and support the review of applications, including follow-up with candidates when clarifications are required
- Coordinate the logistical organisation of Election Committee meetings (agenda preparation, document distribution, access rights management to shared tools, archiving of minutes and calendars)
- Contribute to the preparation and publication of communication materials on the intranet in collaboration with HR Communication teams
- Provide support for the electronic voting platform (Polyas), including handling user queries, monitoring technical issues, and liaising with relevant stakeholders
- Manage staff queries and complaints during the election process, ensuring proper registration, follow-up, and escalation to the appropriate bodies
- Support lawyers in daily administrative tasks (document preparation, copying, general administrative support) in line with internal procedures
- Ensure proper record keeping, document management, and data quality while strictly respecting confidentiality requirements
- Coordinate reporting activities within the Division (data collection follow-ups, reminders, consolidation of responses, ensuring completeness of information)
- Collaborate with other assistants within the Directorate and provide back-up when required
Candidate Profile:
Your profile:
- Secondary education completed, complemented by a 2-year qualification in a relevant field (administration, legal studies, accounting, or business), or equivalent professional experience
- Minimum of 3 years’ experience in an administrative, HR, or legal support function involving confidential or sensitive information
- Strong commitment to confidentiality and data protection (mandatory)
- Excellent organisational skills with the ability to prioritise, plan, and manage deadlines effectively
- Strong attention to detail and analytical mindset
- Very good command of MS Office tools (Word, Excel, PowerPoint) and document management systems (GED)
- Excellent command of English and French; other EU languages are considered an asset
- Ability to work in a structured, process-driven environment with multiple stakeholders
