Operational Assistant HR & Contract Management (M/F/X)
Client Description:
Manpower is recruiting an Operational Assistant HR & Contract Management for one of its clients, a leading European institution based in Luxembourg, for a temporary assignment of approximately 6 months.Job Description:
Your missions:
- Provide operational support to the unit responsible for remuneration matters relating to staff based in non-EU external offices
- Support the preparation, coordination and follow-up of procurement and contract management activities related to external service providers
- Monitor contract renewal deadlines and procurement milestones, ensuring timelines are anticipated and respected
- Draft, process, file and maintain procurement-related documentation, ensuring accuracy, completeness and traceability
- Track ongoing procurement and contracting activities and maintain accurate status reports
- Liaise with internal stakeholders and external service providers to collect information, clarify requirements and ensure timely follow-up
- Monitor approval workflows and ensure compliance with internal procedures, policies and governance requirements
- Assist with budget verification and financial checks related to existing, expiring and future service contracts
- Act as a key point of contact for day-to-day coordination with internal stakeholders and external providers
- Follow up on action items and escalate issues that may affect delivery timelines
- Provide general administrative support to the team, including meeting organisation, document circulation for approvals and signature processes
Candidate Profile:
Your profile:
- Secondary education diploma complemented by a 2-year certification in a relevant field such as Business Administration, Human Resources, Procurement or equivalent
- At least 3 years of professional experience in an operational, administrative or business support role within an international environment
- Previous experience in Human Resources, payroll, legal, procurement or contract management functions is considered a strong asset
- Experience supporting procurement processes and/or service contract management activities would be highly valued
- Knowledge of public procurement is an advantage; experience within the EIB procurement environment would be a significant asset
- Proven ability to coordinate multiple stakeholders and manage competing priorities and deadlines effectively
- Excellent command of Microsoft Office applications, particularly Word, Excel and PowerPoint
- Knowledge of additional systems such as PeopleSoft HR & Financials, Business Objects or GED would be an asset
- Excellent written and spoken English
- French is a strong asset; knowledge of another EU language would be an advantage
- Well-organised, detail-oriented, proactive and capable of delivering results in a collaborative environment
