Administrative Assistant (M/F/X)
Client Description:
Manpower is recruiting an Administrative Assistant for one of its institutional clients based in Luxembourg, for a temporary assignment.Job Description:
Your missions:
- Ensure the smooth day-to-day administrative management of the division’s activities
- Provide administrative support to the Head of Division and follow up on requests and action items
- Organise meetings, coordinate calendars and manage scheduling activities
- Participate in team meetings and proactively monitor the implementation of decisions and follow-up actions
- Facilitate effective communication and information sharing within the team to support timely delivery of tasks
- Coordinate staff-related logistical matters, including office space, furniture, supplies, IT equipment and access management
- Liaise with internal stakeholders to ensure the provision and maintenance of office facilities and services
- Support office moves, onboarding arrangements and operational logistics for new and existing employees
- Contribute to administrative and facilities-related projects, resolving issues with initiative and sound judgement
- Maintain and update operational dashboards and administrative tracking tools
- Coordinate and implement requests related to temporary staff management, including interns and temporary workers
- Contribute to a positive and collaborative working environment and support the achievement of team objectives
Candidate Profile:
Your profile:
- Secondary education, ideally complemented by a certification in Business Administration, Secretarial Studies or a related field
- Minimum 3 years of experience in an administrative support or assistant role
- Excellent command of MS Office tools, particularly Word, Excel and PowerPoint
- Excellent written and spoken English is mandatory
- Knowledge of French or another European language would be considered an asset
- Strong organisational and prioritisation skills with the ability to manage multiple tasks simultaneously
- Excellent attention to detail and ability to meet tight deadlines
- Proactive, solution-oriented and able to work independently
- Strong interpersonal and communication skills with a collaborative mindset
- Ability to handle confidential information with discretion and professionalism
