Client Description:
Manpower is recruiting an Operational Assistant – Employee Relations for one of its clients in the banking sector, based in Luxembourg, for a temporary assignment.Job Description:

Your missions:

  • Provide administrative and operational support for the organisation of staff representative elections
  • Support the Election Committee Secretariat, including drafting, formatting and finalising meeting minutes
  • Prepare, publish and update official communications related to the electoral process (calls for candidates, voting instructions, reminders, updates)
  • Compile, verify and maintain voter lists and candidate applications, ensuring follow-up when needed
  • Coordinate the logistics of Election Committee meetings (document distribution, access management, archiving, agenda follow-up)
  • Prepare communication materials and ensure timely publication on the intranet in collaboration with relevant stakeholders
  • Support the use of the electronic voting platform and handle practical queries or technical issues in coordination with stakeholders
  • Assist in managing staff queries and complaints during the election period, ensuring proper follow-up and escalation
  • Provide day-to-day administrative support to the legal team (document preparation, handling internal requests, compliance with procedures)
  • Ensure proper documentation, data quality and archiving in strict compliance with confidentiality requirements
  • Coordinate reporting activities (data collection, follow-up, consolidation of responses)
  • Collaborate with other assistants within the Directorate and provide back-up when necessary

Candidate Profile:

Your profile:

  • Secondary level education complemented by a 2-year certification in a relevant field (administration, legal, business) or equivalent experience
  • At least 3 years of experience in an administrative role, ideally within HR or a legal environment handling confidential matters
  • Strong ability to handle sensitive information with a high level of confidentiality
  • Detail-oriented with strong organisational, planning and prioritisation skills
  • Analytical mindset and ability to manage structured processes
  • Very good command of MS Office tools (Word, Excel, PowerPoint) and document management systems (GED)
  • Excellent command of English and French, both written and spoken; additional European languages are an asset
  • Ability to work independently while contributing to a collaborative team environment
