Senior Operational Assistant (M/F/X)
Client Description:
Manpower is recruiting a Senior Operational Assistant for one of its clients operating in the European institutional sector and based in Luxembourg, for a temporary assignment.Job Description:
Your missions:
- Coordinate and monitor operational projects related to workspace services, ensuring compliance with internal procedures, budgets, and deadlines
- Support contract administration activities, including invoice management, contract follow-up, amendments, and procurement-related processes
- Assist with tender procedures, requisitions, and supplier documentation in line with internal procurement guidelines
- Prepare, draft, and proofread professional correspondence, reports, presentations, and administrative documents in English and French
- Support office space management activities in collaboration with internal stakeholders and ensure adherence to approved procedures
- Maintain accurate and efficient document management practices using internal systems and collaborative platforms
- Facilitate communication between the unit, internal customers, external service providers, and other departments
- Monitor service provider performance and contract execution, ensuring agreed service levels and project objectives are achieved
- Contribute to the preparation of activity reports, dashboards, and operational monitoring tools
- Provide administrative and operational support to ensure the smooth running of the unit’s daily activities
Candidate Profile:
Your profile:
- Secondary education completed, supplemented by a certification in Business Administration, Office Management, Facilities Management, Logistics, or a related field
- At least 5 years of experience in an administrative, operational, project coordination, or office management role
- Previous experience working in an international and multicultural environment
- Experience liaising with external suppliers and service providers
- Good understanding of contract administration, procurement processes, service level agreements, and performance monitoring
- Strong organizational and coordination skills with the ability to manage multiple priorities simultaneously
- Excellent drafting and communication skills
- Advanced knowledge of Microsoft Office tools
- Experience working with document management systems such as SharePoint, GED, or similar platforms
- Ability to work independently, meet deadlines, and maintain a high level of accuracy and attention to detail
- Fluent in English and French, both written and spoken
