Client Description:
Manpower is recruiting an Executive Assistant / Senior Executive Assistant for one of its clients operating in the institutional and financial sector in Luxembourg, as part of a temporary assignment.Job Description:
Your missions:
- Provide high-level executive support to the Shareholder Relations & Institutional Matters Director, including calendar management, meeting coordination, and communication with internal and external stakeholders
- Plan and organize the Director’s participation in meetings, conferences, receptions, and other business events, including all related logistics and travel arrangements
- Prepare briefing materials, meeting files, presentations, and supporting documentation required for decision-making and governance activities
- Prepare and monitor documents requiring approvals and signatures, ensuring compliance with internal procedures and deadlines
- Manage a wide range of internal and external contacts and act as a key point of coordination
- Oversee office space and administrative management activities related to the Director’s office
- Organize business travel arrangements and prepare expense reports
- Manage incoming correspondence, draft replies where appropriate, and ensure timely follow-up of pending actions
- Maintain an efficient electronic and paper filing system to ensure accurate record-keeping and easy access to documents
- Coordinate meeting attendance across the department and support the monitoring of governance documentation pipelines
- Ensure the timely and accurate distribution of documents to relevant committees and stakeholders, while liaising with internal departments as required
- Plan and organize departmental and management meetings, including administrative preparation, coordination, documentation, and follow-up actions
- Act as a back-up for other Executive Assistants within the department when required
- Prepare, review, and finalize documents requiring the Director’s approval, signature, or attention in relation to governance bodies and senior management activities
- Manage incoming requests and enquiries, prioritizing and filtering them according to business needs and the Director’s requirements
Candidate Profile:
Your profile:
- Secondary education diploma complemented by a relevant certification or qualification in administration, business support, secretarial studies, or a related field
- Minimum 5 years of professional experience in an Executive Assistant, Personal Assistant, or senior administrative support role
- Good understanding of institutional, banking, or financial environments
- Knowledge of governance processes, approval workflows, and senior management procedures is considered a strong asset
- Excellent command of Microsoft Office applications, including Word, Excel, and PowerPoint
- Highly proficient in English with a good command of French
- Knowledge of additional EU languages would be an advantage
- Strong organizational and planning skills with the ability to manage multiple priorities effectively
- Ability to work under pressure and meet tight deadlines while maintaining a high level of accuracy and quality
- Strong sense of responsibility, ownership, and initiative
- Excellent attention to detail, precision, and reliability
- High level of discretion, tact, and diplomacy when handling confidential information
- Outstanding interpersonal and communication skills with the ability to interact confidently with senior stakeholders
- Team-oriented mindset combined with the ability to work independently when required
- Flexibility and availability to adapt to evolving business needs
