Client Description:
Manpower is recruiting an Administrative Assistant (Level 1/2) for one of its clients operating in the institutional and financial sector in Luxembourg, as part of a temporary assignment.Job Description:
Your missions:
- Provide administrative and secretarial support to the Head of Division and contribute to the smooth day-to-day operation of the division
- Assist in the preparation of notes, briefings, presentations, reports, and other business documents in line with internal standards and procedures
- Support the processing, validation, and distribution of documents submitted to governance bodies, including Management Committee and Board-level meetings
- Coordinate with internal stakeholders and translation services to ensure timely delivery of documentation when required
- Assist with the planning and organization of meetings, conferences, seminars, presentations, and other business events
- Manage logistical arrangements, including meeting coordination, conference registrations, protocol-related activities, and business travel arrangements
- Coordinate office-related services and liaise with external vendors and service providers to ensure the efficient management of facilities, supplies, and IT equipment
- Monitor and support the administration of supplier contracts in collaboration with relevant internal departments
- Manage team calendars and support the coordination of participation in Management Committee and Board meetings
- Perform a variety of administrative tasks, including document filing, data entry, maintenance of distribution lists, and logistical support to the team
- Act as a back-up for other divisional assistants, ensuring continuity of service during absences
- Contribute to a positive and collaborative working environment that promotes efficient communication and achievement of team objectives
- Identify opportunities to improve administrative processes and suggest practical enhancements when appropriate
Candidate Profile:
Your profile:
- Secondary school diploma complemented by a relevant qualification in secretarial studies, business administration, or a related field
- At least 3 years of professional experience in an administrative assistant, team assistant, or similar support role
- Excellent command of Microsoft Office applications, including Word, Excel, and PowerPoint
- Excellent written and spoken English and French
- Knowledge of an additional EU language would be considered an asset
- Strong organizational and multitasking skills with the ability to manage priorities effectively
- Excellent attention to detail and commitment to delivering high-quality work
- Strong interpersonal and communication skills
- Ability to work both independently and collaboratively within a team environment
- Proactive mindset with a strong sense of responsibility and accountability
- Ability to manage deadlines and perform efficiently in a fast-paced environment
