Client Description:
Manpower is recruiting a Senior Administrative Assistant for one of its clients, a major European financial institution based in Luxembourg, for a temporary assignment.Job Description:
Your missions:
- Provide autonomous administrative and organizational support to teams across the department
- Manage incoming and outgoing correspondence, document flows, shared calendars, meetings and events
- Maintain and update electronic and physical filing systems as well as document management databases
- Draft, format and finalize complex correspondence, reports, presentations and other business documents in line with corporate standards
- Prepare, review and follow up on documentation requiring approval, validation or signature
- Support the preparation, validation and distribution of management reports, briefing notes, presentations and other key internal documents
- Ensure the quality, accuracy and consistency of information entered into internal systems and databases
- Coordinate the distribution and tracking of internal and external communications while ensuring compliance with established procedures
- Organize visits from external stakeholders and coordinate all related logistical arrangements
- Provide administrative support for business travel, conferences, training sessions and other departmental activities
- Advise and assist staff on administrative processes and contribute to the continuous improvement of internal procedures
- Work closely with other administrative assistants and provide operational backup when needed
Candidate Profile:
Your profile:
- Secondary education, ideally complemented by a diploma or certification in Administration, Secretarial Studies, Business Administration or a related field
- At least 5 years of experience in a senior administrative support or executive assistant position
- Excellent organizational and prioritization skills with the ability to manage multiple tasks simultaneously
- Strong attention to detail and ability to work accurately under pressure and within tight deadlines
- Ability to work independently while maintaining strong collaboration with various stakeholders
- Excellent command of Microsoft Office applications, particularly Word, Excel and PowerPoint
- Knowledge of document management and electronic filing systems would be considered an asset
- Excellent command of English and/or French, with a good working knowledge of the other language; additional EU languages are an advantage
- High level of discretion, confidentiality and professionalism
- Proactive mindset, strong sense of responsibility and results-oriented approach
