Client Description:
Manpower is recruiting an Administrative Assistant / Legal Support Assistant for one of its clients, a European institution based in Luxembourg, within the framework of a temporary assignment.Job Description:
Your missions:
- Provide day-to-day administrative and operational support to the Corporate & Litigation Division
- Understand and apply the Division’s document management processes, filing structure and naming conventions
- Contribute to the clean-up and reorganisation of electronic document management workspaces (EDMS/GED)
- Review folders and files to identify obsolete, duplicate, inactive or incorrectly classified documents
- Prepare recommendations regarding document retention, archiving, reorganisation or deletion
- Support the implementation of approved actions in collaboration with legal teams, archives and document management specialists
- Maintain accurate tracking records of reviewed folders, decisions taken and actions completed
- Monitor project progress and prepare concise status reports
- Carry out general administrative duties, including document preparation, formatting, scanning, filing and compilation
- Organise meetings and provide administrative assistance to the Division’s members
Candidate Profile:
Your profile:
- Secondary education complemented by a relevant 2-year certification, or equivalent professional experience
- Minimum 3 years of experience in administrative support, secretarial or assistant roles
- Previous experience within a law firm, legal department or similar legal environment would be a strong asset
- Excellent command of MS Office applications, particularly Word, Excel, PowerPoint and Outlook, as well as Adobe Acrobat
- Familiarity with electronic document management systems (EDMS), records management or electronic archiving would be an advantage
- Excellent command of English, both written and spoken
- Strong attention to detail, organisational skills and ability to work accurately
- Ability to manage multiple priorities and meet tight deadlines
- High level of discretion, confidentiality and professionalism
- Strong team spirit, communication skills and ability to collaborate with various stakeholders
